Administrative Assistant – Avalon, Alpharetta, GA
Reports To: General Manager
North American Properties Atlanta, Ltd. is seeking a highly motivated, innovative, and organized Administrative Assistant to join the team.
The Administrative Assistant will provide support to the General Manager and the operation team while serving as the point of contact for internal and external relations. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Administrative Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Direct report to the General Manager and VP of Operations
Maintain schedule, appointments and deadlines of the General Manager as well as the VP of Operations
Works closely and effectively with both the General Manager and Assistant General Manager to keep them informed of upcoming commitments and responsibilities, following up appropriately
Assist in identifying, building and maintaining relationships with key vendors and contractors ensuring flawless execution and maintenance of NAP brand standards
Code and process all invoices in a timely manner and effectively communicate with the accounting team
Expense the VP of Operations, General Manager and Assistant General Managers expenses in a timely manner.
Handle all requests and queries from the operations team
Effectively prepare all tenant correspondence and vendor Service contracts
File all lease related documents in the appropriate folders
Plan meetings by identifying, assembling, and coordinating requirements; establishing contacts; developing schedules and assignments
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
Work with the office coordinator in ensuring all tenant contacts and internal contacts are always updated
Answer and direct calls to the appropriate departments
Assist with additional tasks as requested by the General Manager

The responsibilities of this position include but are not limited to: Management and maintenance of day to day operations of the property and the engineering team, overall safety of guests and employees of the property, manage day of operations of all Avalon events, manage all contractors working on tenant build outs, and work closely with all employees of the property. This candidate must have a positive attitude and multi task effectively.
Must have a solid understanding of and be qualified to operate heating, ventilating and air conditioning equipment, pumps, electrical and lighting systems, plumbing systems, alarm systems, monitoring systems, music systems and all other common area components of the buildings. Must possess excellent communication skills, be well organized. Must also be computer literate and able to use programs such as Word and Excel. The equivalent of a bachelor’s degree from an accredited college or related trade schools a plus.

This position is active and regularly requires standing and lifting or moving items up to 50 pounds. The employee will have to be mobile to move about all properties and use equipment typically utilized in the maintenance / construction field to perform work duties as outlined in the above job description. Must be able to drive. The employee must be able to read manuals, safety materials, operational guides to equipment and service contracts. The employee must be able to hear and speak well enough to communicate with management, co-workers, vendors, contractors, tenants and customers. The employee is required to sit, stoop, kneel or crouch, climb and use hands to handle, grasp, feel and reach.
Standard attire shall include a beige Avalon shirt, black pant with belt, black shoes and socks. Uniforms shall be kept in a clean and in orderly fashion.
Work Schedule and Location:
Full - Time, 40 hours weekly. Must be flexible, willing to work weekends. Schedule may change weekly depending on the needs of the property.
